Add historical/additional client context

Add notes from sessions outside AirNote, client emails and other background to help AirNote understand the client’s wider context.

2 mins read

Add useful background to a client’s record—especially notes from previous sessions that weren’t recorded in AirNote. Additional Context helps AirNote consider that earlier work and other relevant information when generating therapy Notes, documents and formulations.

1. Open the client’s details

Right-click the client’s name in the sidebar and choose View/Edit Client.

Danielle Smith’s right-click menu in the AirNote sidebar, with View/Edit Client highlighted.

If you already have a session open, you can also click the button with the client’s first name in the main toolbar—Danielle in this example.

The client-details button in AirNote’s main toolbar, showing a person icon and Danielle’s first name.

Check that the panel shows the client you want to update.

2. Find Additional Context

Scroll down the client panel, past Sessions and Client History, to Additional Context.

The client panel scrolled down to show the automatically generated Client History above the separate, editable Additional Context field.

Client History is AirNote’s automatically generated summary of previous sessions. Additional Context is the separate space for background information you add yourself.

3. Add your background information

Click inside the Additional Context text box and type or paste the information you want AirNote to consider.

Useful context might include:

  • Notes from previous sessions that weren’t recorded in AirNote.

  • Emails exchanged with the client.

  • Notes from another therapist.

  • Correspondence with a GP.

Keep any existing context that is still useful. Short subheadings, such as “Previous sessions” or “GP correspondence”, can help AirNote understand what each section relates to.

Additional Context organised under the short subheadings Client preferences and Previous sessions outside AirNote.

The field accepts up to 50,000 characters. If you go over the limit, shorten the text before saving.

4. Save your changes

Click Save Changes at the bottom of the panel. The panel closes and your context is saved with this client. AirNote will consider it when you next generate content for them.

The enabled Save Changes button at the bottom of the client panel.

Saving Additional Context does not change Notes or documents you have already generated.

To update it later, repeat these steps, edit the text and choose Save Changes again.

Keep the context useful

  • Keep the context relevant and up to date.

  • Review generated content before using or sharing it.

  • Additional Context is not included in Clinical Supervision Notes.

Client: Hi. Um… I’m okay, I think. A little scattered. I almost forgot we had this today, and then I was rushing to get here on time. Therapist: So you’re coming in feeling a bit rushed and scattered. Client: Yeah. That’s probably the word. Scattered. Therapist: Let’s take a moment, then. No need to jump right in. Maybe just notice that you’re here now. You made it. Client: Yeah. Therapist: As you sit here, what are you aware of? In your body, your thoughts, your mood? Client: My shoulders are tense. I feel like I’ve been holding them up all day. And my mind is kind of jumping around. Therapist: Mm-hmm. A lot of mental movement, and your body is carrying some tension too. Client: Exactly. Therapist: Would it help to take one slow breath before we begin? Client: Sure. Therapist: Okay. Just one breath in… and out.
